1. Overview

This Privacy Policy explains how VoiCore (“VoiCore,” “we,” “us”) collects, uses, and shares personal information in connection with our websites and the VoiCore platform (the “Service”).

2. Our role: controller vs. processor

For information about our own customers and website visitors (for example, account and billing details), we act as a controller. For data that our customers upload and process through the Service to run their calling campaigns — such as their contact lists and the people they call — we act as a processor on the customer’s behalf, and the customer is the controller. If you were contacted by one of our customers, please direct privacy requests to that customer. [TODO: confirm; a separate Data Processing Addendum is available to customers on request.]

3. Information we collect

  • Account information — name, email, password, workspace and team details.
  • Billing information — plan, transactions, and limited payment metadata. Payments are processed by our payment provider; we do not store full card numbers.
  • Customer Data — contact and lead information, call metadata, recordings, and transcripts that customers submit or generate through the Service.
  • Usage data — log data, device and browser information, and analytics about how the Service is used.
  • Communications — messages you send us for support or sales.
  • Cookies — we and our providers use cookies and similar technologies for authentication, preferences, and analytics. [TODO: confirm cookie/analytics tooling and add a cookie notice/banner if required.]

4. How we use information

  • Provide, operate, secure, and improve the Service.
  • Process transactions and manage subscriptions.
  • Communicate with you about your account, support, and service updates.

  • Comply with legal obligations and enforce our agreements.

Where required, we rely on legal bases including performance of a contract, legitimate interests, consent, and compliance with legal obligations.

5. Call recordings & transcripts

The Service can record and transcribe calls when enabled by a customer. Recording laws vary by jurisdiction and may require notice to, or consent from, call participants. Our customers are responsible for providing any legally required recording notices and obtaining any required consents. We process recordings and transcripts to provide the Service (for example, storage, playback, and analytics) on the customer’s behalf.

6. How we share information

We do not sell personal information. We share information with:

  • Service providers / subprocessors that help us run the Service — for example, AI model providers, telephony providers, payment processors, and cloud hosting/storage providers. They may process information only on our instructions.
  • Legal and safety — when required by law, to enforce our agreements, or to protect rights, safety, and security.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.

7. Data retention

We retain personal information for as long as needed to provide the Service and for legitimate business or legal purposes. Customers can configure certain retention settings (for example, recording retention by plan). When no longer needed, we delete or de-identify information.

8. Security

We use technical and organizational measures designed to protect personal information, including encryption of sensitive credentials, access controls, and masking of sensitive identifiers in logs. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your rights & choices

Depending on your location, you may have rights to access, correct, delete, or port your personal information, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, contact us at [email protected]. If your information was provided to us by one of our customers, we will refer your request to that customer. We will not discriminate against you for exercising your rights.

10. International transfers

We may process and store information in countries other than where you live. Where required, we use appropriate safeguards for international transfers. [TODO: confirm hosting locations and transfer mechanisms.]

11. Children’s privacy

The Service is not directed to children under 18, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will take appropriate steps.
